Leveling Up Hotel Meeting Spaces

Making hotel meeting rooms as functional — and luxurious — as possible with Crestron solutions

For a technology integrator who specializes in hospitality installations, the term “specializes” itself is a bit of a misnomer — especially for those who handle luxury hotels.

Those integrators need to understand residential tech, whether that’s a platform like Crestron Home® OS or a custom solution. That’s often foundational for a guest room. Integrating that space is much more than getting the right signal to the right TV — it’s about lighting, shading, climate, keypads and controls, monitoring, messaging and managing concierge and housekeeping services, and more.

Those integrators need to be well-versed in what’s often called “light commercial,” providing AV, lighting, shading, climate, control, and other functions to common areas, restaurants, and bars. And in high-end hotels, casinos, and sportsbooks, with their demands for everything from massive video walls to near-zero latency content feeds, “light” is another poor choice of words.

And those integrators need to understand everything that goes into 21st-century office spaces, as that’s precisely the technology that’s driving the modern work, meeting, and collaboration experience.

And with recent advances in collaborative technology, hotels that cater to any combination of business and leisure (sometimes shortened to “bleisure”) are placing renewed emphasis on product lines that offer solutions for the modern meeting space.

“I think 2026 is something of a moment for this aspect of the hospitality industry,” says Guss. “I think hotels are trying to make their properties stand out.” What that means is that the meeting space has to deliver the same kind of top-tier experience as the room, the restaurant, the bar, the pool, the wellness facilities, and so on.

There are challenges one wouldn’t find in a traditional office building, of course: larger meeting spaces in hotels are often multi-purpose rooms, hosting everything from conferences to banquets to wedding receptions. Hotel operators are also looking to add more functionality to smaller meeting rooms — imagine a space hosting a business meeting in the morning and a yoga class in the afternoon, for example. There’s always a desire to maximize the potential of every square foot in a hotel, as unused rooms don’t add anything to the bottom line.

Guss outlines some of the must-haves for these spaces. That includes:

Seamless Content Sharing and Control

“Easy connectivity and control interfaces are absolutely vital for meeting spaces,” says Guss. “When an organization books a large room, there’s usually an event coordinator. The biggest pain point: If that individual or team can’t use the technology easily, the hotel operator has to get their staff involved.” That takes staff away from other duties, and if the technology is unworkable, revenue could be lost.

“A simple, intuitive user interface that allows a guest or an event coordinator to come in and get that room set up exactly as they want with a few taps on a touch screen, a keypad, or a remote can be a huge advantage for the property,” she adds. Scenes can be programmed to adjust everything from displays to lighting with commands such as “Lecture” or “Media Presentation.”

From there, content sharing is the next challenge. “Meetings that need BYOD solutions are prevalent in hotel spaces like the ones we’re describing,” says Guss. IP Solutions

The technology behind modern videoconferencing is moving to the network. But that’s not all: Lighting, shading, and standalone audio are also becoming part of that same network. That offers the hotelier the option to streamline and simplify many of the functions that make meetings work.

“AV-over-IP can deliver signals reliably and with almost zero latency — no lag,” says Guss. While that ability is mission-critical when it comes to applications like a sportsbook, it makes the meeting experience much more refined, too. “If a virtual presenter has dialed into your conference, or if you’re pulling in content from elsewhere, the result is much smoother,” she says. “Solutions like Crestron DM NVX AV-over-IP also include features like Multiview, which lets you bring in content from multiple sources and see all those images on a single display. Whether that display is fixed in the room or on a rental cart, Crestron solutions can provide a simple delivery system for video, slides, and more.”

Other benefits of AV-over-IP systems are their scalability and operational centralization. “You can add endpoints as needed, and everything can run back to a central rack of equipment,” says Guss. “That includes AV for common areas, guest rooms, bars and restaurants, and meeting rooms, too.”

For audio-only needs, Crestron offers solutions to connect nearly any piece of equipment. While one would expect that a meeting in a hotel space would be attended exclusively by in-person collaborators, that’s not really the case anymore — hotel spaces need to accommodate remote workers, too. “The reality is that there are simply some employees who may not be able to attend a meeting at a hotel, and we’re starting to see more interest in the technology that improves the experience for those joining virtually,” says Guss.

Solutions that accomplish this include the Automate VX multi-camera speaker tracking solution, which receives input from microphones around the room to orchestrate what you see on screen. Automatic, quick, clean cuts track the current and previous speaker, so conversation flows naturally and critical non-verbal cues such as eye contact, gestures, and reactions are always in sight. Depending on the type of meeting, conference, presentation, or banquet a room is hosting, lighting solutions that live on the network can be automated to create the right conditions for any situation. “A lecture may require vastly different lighting conditions than a brainstorming session or a video presentation,” says Guss. “And a system that ‘knows’ and adjusts automatically in conjunction with a situation saves everyone another step.”
Shading can come into the mix, too. “We’ve seen some windowed halls that double as both meeting spaces and reception areas with wonderful views,” says Guss. “And motorized, automated shading is a must for those spaces.”

Ultimately, a room that has a broad range of functionality is optimum for any hospitality venue that books guests for both business and leisure, says Guss: “The more flexible a meeting space is, the more types of events it can host, and that’s a positive for any operator’s books.”
